Advising Appointments

UGA students are required to meet with an academic advisor every semester. Students are cleared to register for the following semester only after meeting with an advisor.

Students are encouraged to schedule their advising appointments early as appointments tend to fill up later in the semester. College of Education undergraduate students who meet with advisors in Student Services should schedule their appointments through AdvisorTrac. Further instructions are listed below. All other students should contact their major department for assistance.

Students should come to 122 Aderhold Hall to check in for their appointments. Check in by scanning your UGA ID card or entering your MyID into the computer kiosk in the lobby, then have a seat. Your advisor will be notified and will come get you when he or she is ready.

Advising appointments are limited to forty-five minutes, so you should come prepared to discuss your plans for the following semester. During your appointment, your advisor will review your progress and discuss course options with you. If your intended major is high demand, your advisor will go over the application requirements with you. Advisors can also direct you to additional resources on campus. At the end, you will receive an advisement form with course recommendations and any notes from your appointment, and you will be cleared to register.

How to schedule an advising appointment:

  1. Go to http://advising.coe.uga.edu.
  2. Enter your MyID and password and select Login.
  3. Select Search Availability.
  4. Choose the appropriate center. Consultant(s) will be preselected for you based on your major. If more than one consultant is listed, you may choose whoever you prefer, or you may simply choose the consultant with the earliest availability. Select “General Advising” for the Reason.
  5. Adjust the dates, times, and days of the week as needed. For best results, simply change the “To” date to at least a month in advance and do not change anything else. Select Search.
  6. Select an availability, enter a phone number where you can best be reached during the day, and select Save.
  7. You will receive a confirmation e-mail after scheduling your appointment. However, you will not receive a reminder e-mail prior to your appointment, so be sure to note the date and time.

NOTE: If you are changing from a major outside the COE, please allow 24 hours for your major change form to be processed and your information to be uploaded to AdvisorTrac.

Cancellation and No-Show Policies

If you have scheduled an advising appointment and discover you are no longer able to attend, you can cancel your appointment through AdvisorTrac up to twenty-four hours prior to the appointment and reschedule for another time. Cancellations less than twenty-four hours prior to appointments are not permitted and will be considered no-shows.

A “no-show” is a student who does not attend his or her scheduled advising appointment. This practice is inefficient; therefore, the College of Education Office of Student Services reserves the right to limit the number of appointments these students can schedule.

Students are allowed one no-show appointment per semester. However, a second appointment may not be scheduled on AdvisorTrac. Students must contact the advisor with whom the first appointment was scheduled via email to reschedule. A second no-show appointment will result in students not being allowed to reschedule their appointment again, and students must wait to be advised during the Open Advising period at the end of each semester.

AdvisorTrac FAQs

Why can’t I log onto AdvisorTrac?

  • Only currently enrolled UGA undergraduates have access to AdvisorTrac.  If you are a returning student, please contact the AdvisorTrac Administrator to receive access.  If you are a new student, you cannot schedule an appointment through AdvisorTrac; you must attend orientation first.
  • Your MyID and/or password is incorrect.  If you are also having difficulty accessing the MyUGA Portal, UGA Mail, etc., contact the EITS Helpdesk for assistance: (706) 542-3106 or helpdesk@uga.edu.
  • If you are a currently enrolled UGA undergraduate, it may just be an error.  Contact the AdvisorTrac Administrator to receive access.

When searching availabilities, why are no consultants listed?

  • Only College of Education undergraduates who meet with advisors in Student Services, Kinesiology, and Elementary & Social Studies Education may schedule appointments through AdvisorTrac.  All other students should contact their college or major department for assistance.  If you recently submitted a change of major form, and you have waited 24 hours for processing, contact the AdvisorTrac Administrator for assistance.

Why does it appear there are no availabilities?

  • The most common reason for this is seeing “No results found” on the right side of the screen, then immediately stopping. This is not an error; you must enter search criteria on the left side of the screen in order to view availabilities. Start by clicking the pull-down menu to select a center, then the other options will appear. Follow the above steps closely.
  • Another common reason for this is choosing the wrong center. Please read the instructions carefully. Only students who have applied and been admitted to majors in the departments of Kinesiology and Elementary & Social Studies Education should choose those centers. All other students should choose Student Services.
  • Your search criteria may be causing an error.  For best results, do not change the “From” date, change the “To” date to at least a month in advance, do not change the time frame, and do not change the days of the week.

Why am I experiencing difficulty using the website?

  • For best results, access AdvisorTrac from a regular PC or laptop, not a mobile device. Mozilla Firefox is the recommended browser.
