Staff Representative Group Meeting Minutes
College of Education
G23 Aderhold Hall
December 6, 2007
10:00 a.m.

Present: Jacquee Rosumny, Tammy Bridges, Amanda Cole, Heather Fancher, Christy Glazer, Mike Gorman, Becky Hendren, Helen Rogers, Sandy Smith, Margaret Turner, and Cindy Williams. Alternates: Linda Dunbar, Andy Garber, Bobbie Ray, Melanie Smith and Vaishali Uchil. Absent: 0

OLD BUSINESS

1. Minutes
The November 8, 2007 minutes were not available.

2. Standing Committee Reports

Safety Committee (Mike Gorman)
The committee met last week and viewed the table reads. Evaluation for fire, tornados and injured persons was discussed. The River’s Crossing Building has one class coming up. The CPR classes will be completed with 17 signed up and certified—a list will be posted.

Newsletter Committee (Jacquee Rosumny)
No meetings scheduled. A.Garber has been joined with Sandy Smith, Heather Fancher and Amanda Cole to work on the committee. (There will not be a Fall issue; but will do Winter)

Staff Awards Committee (Jacquee Rosumny and Tammy Bridges)
The committee met 11/8/07. Contact was made with Coach VanHalanger to be our speaker at the ceremony. He can’t be there in person, but suggested we do a video presentation. Contacted the person over Hairy Dawg and Cheerleaders and invited them to the ceremony for pictures. Contacted several vendors for food with tailgating fair. Met with the Administrative Cabinet about the Staff Awards budget and the Team Award (handout 2). The Department Heads received the Team Award idea openly. The budget was discussed and we were supported by some of the Department Heads. They will take the budget and the Team Award issue to their Department meetings for further discussion.

3. Special Committees

By-laws Committee (Jacquee Rosumny)
A special amendment was written about the Staff Awards to include in the Bylaws and was also presented to the Department Heads and received very well. (handout 1)

Staff Council Meeting (Mike Gorman)
The UGA legal affairs executive director gave an overview of his office duties (re: campus attorneys, grievance procedures, etc). A Staff Council president will be voted on in February —COE member to attend the Staff Council meeting will vote on the president; HR has orientation meetings twice a month for all staff; The result of the parking issue was that everyone must display a hangtag to park; The new on-line medflex website was discussed—SS# use is a concern.

Career Track Committee (Jacquee Rosumny and Mike Gorman)
M.Gorman, S.McDonald and J.Rosumny will meet with the Head of Human Resources on December 13 to discuss what advancement policies the University has in place for staff.

Training and Development Committee (Mike Gorman)
Reported that he received 25 out of 100 surveys within the eight-day window he had to request feedback. The survey information was very encouraging and positive.

Report From The Chair (Jackie Rosumny)
Reported on the Administrative Cabinet meeting and announced that there will be a meeting in January. A Thank-you/Christmas card was passed around for everyone to sign for the Dean. Sixteen staff certificates of service have been reported and the packet of training information was given to Dr. Watkins. J.Rosumny will attend the MLK Breakfast for the COE-SRG.

NEW BUSINESS

a. Toys for Tots: (Amanda Cole)
Reported that flyers will be displayed for the toys and the location of the boxes (Aderhold Hall floors—Ground, First, Second, Third and Fourth; one box at Ramsey Bldg and one at River’s Crossing), and the toys will be picked up on 12/17/07. A $75 or higher receipt will be given for taxable credit. DeeAnna Palmer has a toy store to shop available in her area.

b. SRG Picture: (Heather Fancher)
Reported that she and A.Cole have started working on the department pictures for the awards ceremony.

c. Centennial Report: (Christy Glazer)
No report. The meeting was canceled on Thursday—will meet later this December.

Next meeting is January 10, 2008 at 10:00 a.m. in G-23 Aderhold.

Special Amendment to the Bylaws

SPECIAL COMMITTEE
STAFF AWARDS

Staff Awards Selection Committee

The Staff Awards Selection Committee shall be chaired by a member of the SRG committee. There will be seven (7) members on the Staff Awards Selection Committee. These members will consist of the following: two (2) faculty members, two (2) staff members and three (3) people outside of the College of Education. These individuals will be selected by the SRG committee.

The Staff Awards Selection Committee is charged with the following duties:

1. The Staff Awards Selection Committee Chair will be responsible for collecting all the nominations for the staff awards. The nomination process will be: three letters of support per nominee with a cover letter to introduce the nominee that will include who the person is, which department they are from and what they do. The Nomination packet is to be put together by the individual(s) wishing to nominate an outstanding staff member 01'team employed within the College of Education.

The nomination letters may come from within the nominees department or from outside the department, but there is only three (3) letters allowed.

2. Selection process:

a. The committee is selected as follows: One (1) faculty member and one (1) staff member must be selected from either Ramsey or Rivers Crossing and one (1) faculty member and one (1) staff member must be selected from Aderhold. Three (3) other members of the committee must be chosen from outside the College of Education.

b. The committee of seven will come together and each will be given a packet.

c. While the committee is in session, they will be given instructions to take their packets and to read over carefully each nomination and then a date will be given as to when they will come back together to discuss each nomination. It is at this meeting that the committee will vote.

d. This committee will have only two (2) meetings: a) one to come together to pass out the packets, get their instructions and to receive the date for the next meeting; b) second meeting is when they will come together to discuss the nominations and vote.

e. A winner will be chosen at this meeting along with the two runner-ups and the team award.

f. The results, along with all the accompanying documentation (i.e., original letters and the rating sheets) are submitted to the SRG Chair and the Foundation Payroll Accountant for processing of the monetary portion for the awards. (If the SRG Chair is a nominee, these items will be submitted to the SRG Co-Chair, etc).

g. A copy of all materials will be submitted to the SRG secretary for their records.

3. The Staff Awards Committee is charged with the responsibility of selecting the plaques/awards from a local engraver for the following awards:

a. 2nd Runner Up
b. 1st Runner Up
c. Staff Award for Excellence
d. Staff Team Award (New this year) **

4. Under no circumstances should the Award Recipients be discussed with anyone other than the appropriate Business Office Staff member responsible for encumbering the monetary awards, and the chain of approval for such encumbrances. The Awards are announced at the Staff Awards Ceremony.

TEAM AWARD

The SRG Committee would like to introduce a new award in the "Spirit
of COE”, The Team Award.

Definition: Any department that feels their entire staff should be
recognized for an excellent year of service would nominate them in this
category.

The department show their staff demonstrated the concept of service in
dealing with the public, students, faculty and their colleagues in an excellent
manner.

The department would show how their staff perpetuated or encouraged
a team atmosphere that helped create a productive work environment.

The department would show what significant contribution within the
college in the form of process, product or service they have made.

The department would show how the team has impressed other
faculty, other colleagues and students. Examples.

The department would show how it would be difficult to replace this
team and why.

Additional comments are welcome.

 

Requirements: Need 3 letters.
