COE International Travel
Program Summary
Purpose: To provide support for international travel where the faculty member is the first author of an accepted research paper. The COE Research Office will review faculty needs and may award funding for international travel pending availability of funds maintained in the COE Research Office.
Eligibility: College of Education full-time, permanent faculty members who are the first or solo author of an accepted research paper. Some departmental contribution is required for every trip. Faculty members should discuss proposed international travel with their department heads to determine what contribution will be made by the department. The department head must indicate the departmental contribution and provide written support for the requested trip and approval on all requests first.
Amounts: Funds from the Dean’s Office portion of salary savings will be set aside to support international travel. These funds will be administered through the Research Office and will be divided into four travel periods with maximum awards up to $1,250 available within each travel period. This should insure that funds are available for travel opportunities each semester.
Deadlines: These requests will be due in the Research Office the second Tuesday in December and the fourth Tuesday in February, May, and September. This timeline should allow faculty members time to also submit an application to OVPR and include evidence of support from the College. Requests will be reviewed by the Dean’s Cabinet and results communicated to the applicant in time for him/her to also apply to the Office of the Vice President of Research.

Application Procedures and Documentation
What is needed?
- COE International Travel Application (which includes evaluation by the department head
- Documentation of Participation (for example, copy of invitation or acceptance). This must be included or your application will be returned. The documentation needs to be translated into English if applicable (Attach this information to the application pdf*).
- Copy of Travel Authority showing estimated total cost of trip (Attach this document to the application pdf*).
How do I submit?
Submit the COE International Travel Application electronically via email attachment to (gmason@uga.edu) by 5:00 pm on the deadline date.
Please name the application files as [Last Name], [First Name] COEIT – Faculty. For example, the application for John Smith, would be named as “Smith, John COEIT – Faculty.” Please label all separate attachments clearly.
- To complete, save, and submit the application via email, you need Adobe Acrobat Professional. Adobe Acrobat Reader allows the applicant to fill in the form, but not to save your work. If you only have access to Adobe Acrobat Reader, you can complete the form, print it, and then scan the application and attachments to submit it via email.
Notes to Remember:
- Must be first or sole author of an accepted research paper
- Must be full-time, permanent faculty member
- Provide proof of acceptance
- Include a copy of the travel authority or an estimate of travel costs
- Some departmental contribution is required for every trip.
- Applications received after 5:00 p.m. on the deadline date will be considered at the next deadline
- Applications that are submitted without documentation of participation, a copy of the trip travel authority, or department head evaluation and support will be returned to the applicant and will not be reviewed until the documentation is provided

What to expect after submitting your application
You will receive a letter and email notification of the Cabinet’s decision. If you are awarded, please contact Susan Cowart in the COE Business Office within two weeks of completing your travel. Susan will provide you with the appropriate account number to use when submitting your travel reimbursement paperwork through your department.

If the departmental, COE contribution and the requested amount from OVPR does not fully fund the trip, the faculty member may also request funding from the Provost’s office. That request form should be sent to Christy Glazer in G-4.
