Educational Administration and Policy

Overview of Key Information

Graduate studies can be a daunting task unless the student prepares by being aware of information.  Here are a few quick cues to help you acclimate to graduate studies in the Program in Educational Administration and Policy.

E-mail:  Students are reminded to check frequently their UGA e-mail account.  The UGA email address is the one used communicate with students about such items as graduation confirmation, tuition payment, etc.  There is a feature in which your UGA e-mails can be forwarded automatically to other e-mail accounts. 

Listserv: The program area and departmental listservs serve as the official vehicle for announcements.  These listservs are for broadcast only and an additional source of information regarding important announcements and deadlines. 

Student Information Sheet: Included in the welcome letter from the Program in Educational Administration and Policy was a request to complete a Student Information Sheet. Please ensure that this form has been completed and returned to the Academic Advisor I, Ms. Amy Hill at amyhill@uga.edu The Student Information Sheet can be found at http://www.coe.uga.edu/leap/adminpolicy/forms_4_students.html

OASIS:  Consult OASIS for the latest listing of courses available.

Portfolio:  Students should consult with their advisor and the Guidelines for the Portfolio found at http://www.coe.uga.edu/adminpolicy/ .  The presentation of the portfolio and the oral examination are always scheduled at the mid-point of the semester in which a student has applied to graduate.  The oral examination will be scheduled, and students will be notified of the time and date for the exam during the first two weeks of the semester.  Students are asked to ensure that the Degree Program Specialist has your current home address, phone number, and email address.  Mrs. Laura Patrick, Degree Program Specialist, can be reached at lpatrick@uga.edu

Practicum: EDAP 7801-7803 and EDAP 8801-8803: Students should consult the requirements for enrolling in the Practicum. 

Students are reminded that to enroll for EDAP 7801-7803 or EDAP 8801-8803, Permission of Department (POD) must be granted.  Consult with your assigned advisor for POD.

Application for Graduation, Program of Study, and Completion of Other Graduate School Forms:  Many forms need to be completed as preparation for completing a degree at the University of Georgia.  Please consult http://www.coe.uga.edu/leap/adminpolicy/forms_4_students.html and your assigned advisor prior to the last term of enrollment.

Application for Graduation: Students must apply for graduation by the deadline specified by the Graduate School.  The Application for Graduation can be found at   http://www.coe.uga.edu/leap/adminpolicy/forms_4_students.html or at the Graduate School Homepage at http://www.gradsch.uga.edu:5080/forms/newgradms.htm

Program of Study:  It is the responsibility of the student to

  1. Complete the Program of Study
  2. Submit the Program of Study to the advisor who will submit it to the Graduate Coordinator for signature and processing.
  3. No Program of Study may be submitted to the Graduate School without the signature of the advisor and the Graduate Coordinator.  Moreover, students are not to deliver the Program of Study to the Graduate School in that the Degree Program Specialist must process this paperwork.

  5. Master’s Degree and Specialist in Education students must complete the form PROGRAM OF STUDY FOR NON-DOCTORAL PROFESSIONAL DEGREES  found at the Graduate School at http://www.uga.edu/gradschool/forms&publications/currentstudent_forms.html   This form can also be found on the EDAP Homepage at http://www.coe.uga.edu/leap/adminpolicy/forms_4_students.html
  6. Doctoral Students should consult their major professor.  The Final Program of Study Form for Ph.D. students can be found at http://www.coe.uga.edu/leap/adminpolicy/forms_4_students.html and also at http://www.uga.edu/gradschool/forms&publications/currentstudent_forms.html

For Master of Education and Specialist in Education students, We ask that the Program of Study to be presented at least one week in advance of the Graduate School deadline.  This cushion of time will allow us to process paperwork more efficiently and to assist students in meeting critically important deadlines. 

Transfer of Credit: A general rule of thumb is that it is an exception for transfer of credit to be applied.  No transfer of credit will be granted for core (concentration courses).  If transfer of credit has been approved by the advisor and the Graduate Coordinator, students must complete a form, have the form signed by the advisor and the Graduate Coordinator, and submit an official transcript of the coursework from the university that granted the credit.  This form (Request for Transfer Credit) can be found at http://www.uga.edu/gradschool/forms&publications/currentstudent_forms.html or also at http://www.coe.uga.edu/leap/adminpolicy/forms_4_students.html

To consider a request for transfer of credit, documentation is needed by the assigned advisor.  It becomes the student’s responsibility to provide to the assigned advisor 1) a catalogue description of the course, 2) the course syllabi.  No credit used for a previous degree can be considered.  Recency of the coursework is considered six years. 

Procedure for considering Transfer of Credit:   

  1. The student presents the catalogue description of the course from the university.
  2. The student presents a copy of the course syllabus.
  3. The advisor examines the suitability of the course and makes a judgment on the course based on the information listed above.
  4. The Graduate Coordinator reviews the recommendation made by the advisor and renders a judgment of suitability.  Often this includes consulting the professor who teaches the “like” course on campus. 
  5. The student will be notified of the status of the request within one month of making the request. 
  6. Requests made after the fact (e.g., the student enrolled in UGA sustains the course from another institution without prior approval) will not be rubber-stamped approved.
  7. Courses used for a prior degree, regardless of the institution, may not be used to fulfill a requirement for another degree.
