Graduate Handbook

Graduate studies can be a daunting task unless the student prepares by being aware of information.  Here are a few quick cues to help the graduate student acclimate to graduate studies in the Program in Educational Administration and Policy.

E-mail:  Students are reminded to check frequently their UGA e-mail messages as this is the way that the Graduate School, Bursar’s Office, Registrar’s Office, and other UGA offices communicate with students about such items as graduation confirmation, tuition payment, etc.  There is a feature in which you can automatically have your UGA e-mails forwarded to other e-mail accounts. 

Listserv: The program area and departmental listservs serve as the official vehicle for announcements.  These listservs are for broadcast only and an additional source of information regarding important announcements and deadlines.  Participation in any listserv is optional.  If you would like to have your e-mail address added to these listservs or added, please contact the department.  Please include your full name and the degree (Master’s, Specialist in Education, or L5) in which you are enrolled. 

OASIS:  Consult OASIS for the latest listing of courses available.

Portfolio:  Students should consult with their advisor and the Guidelines for the Portfolio found at  http://www.coe.uga.edu/adminpolicy/ .  The presentation of the portfolio and the oral exam are always scheduled at the mid-point of the semester in which a student has applied to graduate.  The oral exam will be scheduled, and students will be notified of the time and date for the exam during the first two weeks of the semester.  Students are asked to ensure that the Degree Program Specialist has your current home address, phone number, and email address.  Mrs. Laura Patrick, Degree Program Specialist, can be reached at lpatrick@uga.edu

Practicum: EDAP 7800 and EDAP 8800: Students are reminded that the Practicum is not available in the summer for Master’s Degree Students or for students working on the L5 Certification.  Students at the Specialist in Education level may sustain EDAP 8800 in the summer. 

Students are reminded that to enroll for EDAP 7800 or EDAP 8800, Permission of Department (POD) must be given. 

To obtain POD, the student must consult with his/her advisor who will ensure that the requisite number of courses has been sustained.  Once the advisor has determined that the requisite number of courses has been sustained, the advisor will notify the Graduate Coordinator who will grant POD for the Practicum. 

  • Students at the Master’s Degree level may sustain EDAP 7800 when they have completed 1/3 (3 courses) of the required CORE courses. 
  • Specialist in Education students who have an L5 must complete 1/3 (3 courses) of the required coursework for the EDS before sustaining EDAP 8800. 
  • Specialist in Education students who do NOT have an L5 must complete 1/3 of the coursework for the L5 before sustaining EDAP 7800 and then 1/3 of the coursework for the EDS before sustaining EDAP 8800. 
  • Students in the L5 non-degree Certification Program must complete 1/3 (2 of the 6) courses before sustaining EDAP 7800.

Application for Graduation: Students must apply for graduation by the deadline specified by the Graduate School.  Forms for students are found athttp://www.gradsch.uga.edu/For_Students/Enrolled_Students/Enrolled_Students_Forms.html (Application for Graduation = Form 14)

Program of Study:  It is the responsibility of the student to

  1. Complete the Program of Study
  2. Submit the Program of Study to the advisor who will submit it to the Graduate Coordinator for signature and processing.
  3. No Program of Study may be submitted to the Graduate School without the signature of the advisor and the Graduate Coordinator.  Moreover, students are not to deliver the Program of Study to the Graduate School in that the Degree Program Specialist must process this paperwork.

  5. Master’s Degree and Specialist in Education students must complete form 6, PROGRAM OF STUDY FOR NON-DOCTORAL PROFESSIONAL DEGREES  found at http://www.gradsch.uga.edu/Forms/body_prgnonphd.pdf

We ask that the Program of Study be presented one week in advance of the application due date.  This cushion of time will allow us to process paperwork more efficiently and to ensure that students meet critically important deadlines. 

Transfer of Credit: If transfer of credit has been approved by the advisor and the Graduate Coordinator, students must complete a form, have the form signed by the advisor and the Graduate Coordinator, and submit an official transcript of the coursework from the university that granted the credit.  This form (form 12, Request for Transfer Credit) can be found at http://www.gradsch.uga.edu/Forms/body_reqtrfcre.pdf

To review such a request, documentation is needed:  1) a catalogue description, 2) the course syllabi.  No credit used for a previous degree can be considered. Recency of the coursework is considered six years. 

Procedure for considering Transfer of Credit:   

  1. The student presents the catalogue description of the course from the university
  2. The student presents a copy of the syllabus
  3. The advisor examines the suitability of the course and makes a judgment on the course based on the information listed above
  4. The Graduate Coordinator reviews the recommendation made by the advisor and renders a judgment of suitability.  Often this includes consulting the professor who teaches the “like” course on campus. 
  5. The student will be notified of the status of the request within one month of making the request. 
  6. Requests made after the fact (e.g., the student enrolled in UGA sustains the course from another institution without prior approval) will not be rubber stamped approved.
  7. Courses used for a prior degree, regardless of the institution, may not be used to fulfill a requirement for another degree.
